1. Introduction and Agency Details This privacy policy applies across all individual websites that are owned and operated by Profit Accounting Limited. When we refer to “Profit Accounting Limited”, “Profit Accounting”, “we” or “us” we are referring to Profit Accounting Limited, which also includes all associated Contractors who are contracted to provide services and support on our behalf.

This policy is designed to let users of our website know when we collect personal information and what we do with it. Under the Privacy Act 2020, the agency collecting and holding your personal information is Profit Accounting Limited, located at 8C Goddard Lane, Havelock North, New Zealand, 4130. 

2. What Personal Information We Collect When we refer to “personal information”, we mean identifiable information about you. This includes your name, business name, email, address, telephone number, and website usage data. If we collect your Inland Revenue Department (IRD) number, this unique identifier is collected strictly for tax administration and compliance purposes, and will not be used as a general internal account identifier for your business with us. 

3. Why We Collect Information and Consequences of Not Providing It We collect your personal information for a lawful purpose connected with our functions as an accounting firm and website operator.  We may use the personal information you provide to us for the purposes of:

  • Administering, evaluating, improving, and securing our website.
  • Communicating with you and responding to requests for quotes.
  • Sending you marketing communications and displaying targeted advertising to you online.

Providing your personal information to us is voluntary.  However, if you choose not to provide the requested information (such as your contact or business details), the consequence is that we may not be able to provide you with a quote, respond to your feedback, or supply our accounting services. 

4. Who We Share Your Information With We do not use, share, or transfer personal information in connection with our website except as set out in this policy. Information you submit (e.g., via a contact form) will be viewable by our website administrators and our Contractors (including third parties providing administration, improvement, or security services). 

Unless required by law, we will not publicise the names or email addresses of individuals provided to us without their consent.

5. Cross-Border Disclosures (Offshore Data Transfers) We use third-party vendors—including Google Analytics, LinkedIn, and Facebook—to measure website performance and utilise remarketing tools to advertise to you online across the Internet. These entities may be located outside of New Zealand. By using our website and providing your information, you expressly authorise us to disclose your personal information to these foreign entities for analytics and remarketing purposes, acknowledging that they may not be required to protect the information in a way that provides comparable safeguards to the New Zealand Privacy Act 2020. 

6. Cookies and Website Tracking Our websites generate persistent session cookies for the purpose of monitoring site usage. The information collected is aggregated and non-personally identifying (including IP address, search terms, pages accessed, operating system, and browser type). These remarketing activities utilise first-party and third-party cookies together to inform, optimise, and serve ads based on your past visits. You can opt out of ads based on web behaviour served by Google, Facebook, and LinkedIn via their respective opt-out portals, or clear cookies from your browser without affecting your ability to use our website.

7. Storage, Security, and Retention We protect the personal information we hold with reasonable security safeguards against loss, unauthorised access, use, modification, or disclosure.  We will not keep your personal information for longer than is required for the purposes for which the information may lawfully be used. 

In the event of a privacy breach that has caused or is likely to cause serious harm, we are legally obligated to notify the Privacy Commissioner and the affected individuals as soon as practicable. 

8. Access and Correction Rights You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong.  We may require proof of your identity before being able to provide you with any personal information.

If you would like to ask for a copy of your information, or to have it corrected, please contact our Privacy Officer at johnny@profitaccounting.co.nz.  We will respond to any request for access to personal information as soon as reasonably practicable, and in any case no later than 20 working days after the day on which the request is received. 

9. Complaints If you are not satisfied with our response to any privacy-related concern you may have, you can contact the Privacy Commissioner at www.privacy.org.nz.
